Aimsio for iOS

Aimsio’s for iOS is built for connecting field work and the office. Using any iOS device, a crew member or supervisor can work online and offline, manage Jobs, complete Tickets and Timesheets and share forms.

We recommend devices with a minimum of 16GB of available storage and to keep automatic updates enabled.

Logging In

After opening the app, users are brought to a login screen where they can input their username and password to login.

  • If logging into your Sandbox account, append a -sandbox to the end of your username. Users require a separate user account to log into their company’s sandbox account. Reach out to your account administrator if you are having trouble logging in.

Home Tab

Users will be brought to the Home tab each time they login. Use the icons located at the bottom to navigate to each section of the app.

  • The home screen provides access to a user’s Sync Status, Recently Update Jobs and links to our Support services.

Syncing

The ability to share data between the office and the field is through a process we call a sync. We automate the syncing process through a variety of actions to ensure field users have the most up to date job information available. Syncing can also be used to allow office users to view work in progress.

A sync is automatically triggered:

  • Each time a user logs in (if the user is online)

  • When a Task is completed

  • When a Form or Ticket is submitted

A sync is not automatically triggered when:

  • A form that is in progress is changed

  • Any actions that occur from users working on the web (office) side of Aimsio.

Synchronize Panel Details

The Sync Panel provides details about the current status of synchronization on your device. If there are pending changes on your device that have not been pushed to the web, the panel displays how many changes need to be synced.

  • Tap Sync anytime to perform a manual sync.
  • Once the sync has been initiated by tapping the Sync button the progress will be displayed.

Working Offline

Aimsio for iOS can function offline, if no available network connection is available. All changes will be stored on the device and will need to be synced once a network connection becomes available. 

  • Users MUST log in while connected to an online network (wifi or cellular) at least once every 14 days. After logging in, the app will allow users to continue to use the app for 2 weeks before requiring to log in.

  • If users are working in an environment that occasionally provides online access, periodically hit the sync icon once you are back online. Aimsio will attempt to sync when completing a form or each time you login.

  • You can tell that your device is offline if the Sync button is greyed out and the text Offline appears instead of Sync.

Jobs Tab

The Jobs tab provides access to all the jobs you’re assigned to, or have been permitted to access. By tapping a job users are presented with related information, including Client contact details, Job Location and Description of work.

Job List (Left)

  • Each Job contains a group of tabs along the top that allow users to access any job-related forms (Attachments), information on the Crew and Equipment that have been assigned, or any Non-Recurring Billable items.

Deleting or Duplicating a Job Form

Any open or previously completed attachments can be deleted or duplicated by sliding your finger left on the relevant attachment.

Completing a Job Form (Ticket, Crew Timesheet, Purchase Order)

To complete a Job-related form, select the appropriate form from the Action section when viewing a job.

  • Filling out a form on the app is relatively straight forward. You’ll be presented with a number of fields related to the form, some of which may be required in order to proceed.

  • Numbered steps along the top of the form will indicate what stages of completion remain.

  • Once you have completed each section, tap the Next button on the bottom the app.

  • Filling out Billable items. Tap the Add button on the table.

Deleting Table Rows

  • Swipe from the right to the left to reveal the delete action for a table row.

 Signing a Form

Depending on the type of form you’re filling out, you’ll be presented with the option to either have a supervisor sign their work, or get a signature from a client (if they are with you on site).

  • Tap the signature box and have the individual draw their signature directly on screen. This signature will be automatically appended to the completed form, in PDF format.

  • On iOS you can use the Camera icon to take a picture of a signature, or stamp.

Sharing a Form

Once a form has been completed, use the Email / Share icons on the lower right to send the PDF using the available external delivery, Download or Print options on your device.

  • When you are finished, tap Submit to complete and Close the form.

Forms Tab

Some forms exist at the job level, while others are available on the Forms tab including: Estimates, Equipment Work Orders, or Individual Timesheets.

  • Adjust the layout of available and completed forms by tapping on the icon on the top right of the app.

Deleting or Duplicating a Form (Forms Tab)

Tap and hold on a form to bring up the Action menu. If the form is open, users will be provided the ability to Delete or Duplicate the form. If the form is Closed (Submitted), users will only be given the duplicate option.

Tasks Tab

The Tasks tab provides access to all tasks you’ve been assigned. It allows you to create, view and accept tasks, as well as mark tasks that have been assigned to you as complete.

Accessing Compliance

Jobs that have crew, areas, or clients that are managed by the compliance module can be reviewed for compliance status by supervisors using the Aimsio app.

  • Clicking on the Compliance tab will open a view that enables supervisors to get a better picture of the certification status of crew on their jobs.

  1. Compliance Documents: Some compliance types require that a document is reviewed prior to certification.  These documents are listed here with the name of the compliance they are associated with

  2. Compliance on the Job: Based on how certifications are set up at your company, different certifications may be required based on the employees’ default trade, the client the job is for, the area the employee is associated with, or company-wide certifications.  Those certifications that are required based on client and job are listed in this section.  

    • A green icon next to the certification type means that all employees are certified on the job

    • A red icon next to the certification type indicates that at least one employee is missing a certification

  3. Compliance Status of Job Crew: This section lists the crew that require that certification along with their certification status.

General Functionality

Forms, Jobs, and Tasks can be created in a few ways. Aimsio typically signifies that something can be created with the use of the + symbol. Look for this in the header bar of the Forms Screen, the Jobs screen, and the Tasks screen, and on specific forms in the Forms screen.

Accessing items in a list

Jobs and Tasks can be selected by first bringing up their list via the “Jobs” or “Tasks” link in the header, and then swiping up or down to find the specific form you’re searching for. 

  • On the forms Page, tapping on a form will load the form. Pressing and holding on an item that you’ve created will let you delete the item.
  • When inputting information, use the search bar to quickly filter results

Adding Crew or Equipment to Jobs

While viewing a Job, tap the Crew or Equipment tab to manually select resources to assign to the Job.

After syncing, these resources will be accessible from Aimsio’s Dispatch page. Start and End Dates can be included with each assignment, making it possible to accurately schedule resources, like accounts would while using our Dispatch tools. This makes it much easier for authorized users to give access to Jobs, without requiring Aimsio’s web portal or Dispatch page.

How to Log Out or Contact Support (iOS)

To contact our technical support team while using Aimsio for iOS, tap on the Home icon and select Report Issue. Emailing Aimsio at support@aimsio.com will also create a ticket and someone will be in touch as soon as possible.

  • To log out of the app at anytime, tap the Power icon on the top right.

  • The support panel contains a link to send diagnostics to Aimsio. This should be used when Aimsio support requests it. The Help Guide and FAQ can be used as a reference on how to use our platform.
