Aimsio provides a comprehensive set of permissions that ensure users have access to the pages, tools and actions required to complete their tasks. We provide 6 configurable Roles to cover the most common user archetypes on your team, built to support the primary workflows in Aimsio.
The Access Management page provides an overview of the current permission settings for your account. The information presented on this page is read-only.
If accounts need to edit their Access Management settings, please get in touch with our support team, once we’ve provided you with your production account.
Access Management is available for clients joining us after the release of 23.06 (March 2023)
Users can be given more than one role, if their duties span multiple business functions. If users do not see a particular page or action while using Aimsio, it’s generally related to their Role or Area.

Main Menu
The Main Menu tab provides an overview of the available features in your account and the currently assigned access for each role (designated by a green checkmark). This is the highest level of access that can be provided. If a user does not have access to a feature on this page, the granular levels of access within each feature will not apply.
**Role definitions may differ in your account from what is outlined below.
The View column provides clickable shortcuts that will navigate users to the specific permission settings tied to corresponding Listing Page or Form (when applicable).
Listing Pages
The Listing Pages tab will outline which roles in your account have access to the pages on Aimsio’s left sidebar menu. If users aren’t seeing a page, it’s likely that their role has not given them permission to do so.
- Each listing page has a corresponding set of controls, including which columns and filters are visible to the user and what actions can be performed.
Listing Page - Report Column
A listing pages’ Report Column will indicate which tabular data columns are visible for each role.
Visibility of each column will be indicated by a green checkmark.
Listing Page - Report Parameter
Report Parameter refers to the available filters visible at the top of each page.
Listing Page - Report Row Action
Report Row Actions refer to the actions available when a user clicks on the action button beside an entry in the report (ie: View, Edit or Delete, Duplicate).
Listing Page - Report Table Action
Each listing page will have its own unique set of bulk actions, which a user accesses by selecting entries on a report and right-clicking their mouse.
Forms
Forms are the primary format in which users input information (ie: proof of work, hours, billing etc.) and are accessible both on the web and on our mobile app.
- If a feature in your account has a corresponding Form, it will be designated with an icon on the Main Menu tab.
On the Forms tab you can view each role’s level of access to a form. Permissions include:

Reviewing (Approving) a Form
On any given form, there will be sets of fields grouped by section (ie: General Information or fields related to inputting billing information). Individual fields can be hidden for specific roles, while other fields can be made read-only. This can provide plenty of flexibility when requiring to access to forms without the concern of sensitive information being visible.
Application Features
There are some globally designated permissions controlled via the Application Features tab. Permissions include:

Access to Master Data tabs (ie: Billable Items, Contacts, Price Books).

Insights (PowerBI)
Report Center
The Report Center tab presents the permissions tied to each individual report available in the Report Center.
Users with access to the Dashboard listing page can also be given access to certain reports or individual columns within those reports.
Read-Only Access
Accounts that need to provide visibility into their Master Data settings, but do not want to authorize those users to make changes, we support read-only access to select Master Data pages.
