Before rolling our software out to your organization, we encourage select staff members to get as much hands-on with Aimsio in advance of using your production account.
Customers that use this guide give themselves the best opportunity for a smooth transition. Aim to cultivate a roster of internal Aimsio champions to ensure your team’s questions and concerns can be quickly dealt with once they get their hands on our tools.
We provide all customers with a Sandbox version of their account to allow training and testing to take place. This ensures cross-departmental challenges can be identified before you go live.
Create User Accounts
Users will need separate accounts for your Sandbox and Production environments.
Have your account administrators create a user account for every team lead that will be learning and testing the platform.
Review how administrators can reset a user’s account password or have users request their own password reset.

Complete Your Account Testing
Whether your organization consists of large teams or individuals that wear multiple hats, each Aimsio user will likely have their own role and unique levels of access. Have every role in your organization simulate their day-to-day tasks in your Sandbox account.
Write Internal Process Documents
Our user guides should suffice as tutorials for most of the features in your account, but it’s worth keeping in mind that your Aimsio system has been set up specifically for you. The guides may not include terminology or processes specific to your business.
We recommend documenting how each of your departments will use Aimsio. You know your organization best, so you know exactly how your work will flow through each department.
Consider splitting your documentation up by role. For example, a guide for field workers, a guide for your accounting team, etc. Build off the tutorials available in our Help Center and add the specifics unique to your departments.
Write a Campaign Roll Out Letter for Your Customers
A campaign roll out letter is a powerful tool in your roll out plan. One of the primary benefits of using a system like Aimsio is the ability for our customers to get their forms digitally approved. Giving your customers a heads up on this new approval system can prevent friction when making the switch.
A campaign roll out letter might include:
What Aimsio is used for.
Why you have decided to start using Aimsio.
The benefits of using Aimsio.
A rough timeline of the roll out.
An internal contact person who people can reach out to with questions.
If you are still uncertain about what to include in your campaign letter, ask our Client Services team for a sample.
Write a Campaign Roll Out Letter for Your Internal Teams
We suggest sending a campaign roll out letter to all internal departments too. This helps to prepare teams and get them prepared for the switch. In fact, if you find that you are already receiving questions about why Aimsio is necessary, this article explains how to combat common onboarding hurdles such as:
“The old way is faster.”
“I don’t want to learn a new technology”
“Everyone’s too busy for this right now.”
“We can’t risk losing any info.”
The more time you can leverage to prepare your organization for Aimsio, the better.
